We have two options to participate: either as Buyer in Helsinki Event by coming to Helsinki 9.6.2025 OR as Online Event participant 10.6.2025.
Requirements and Registration
There is no participation fee for Buyers attending Offline or Online Workshops.
Buyer’s definition: tour operators, travel agents and distribution channels looking for new products and destinations and are involved in initiating or authorizing purchasing decisions on travel-related products and services. Last day to enter profiles: 30 April 2025.
Please note that travel and accommodation costs are at your own expenses, except for what is shown in the Programme Package. What you need to cover for yourself, is e.g. your travel in/out Finland (flights to Helsinki and back to your home country), additional overnights in Helsinki and meals which are not shown in the Programme Package.

For all online participants it is obligatory to participate in Training Sessions prior to workshop. The Training Session will give you better access and performance during the workshop.

Arrival/Departure Helsinki Arrival to Helsinki is not included in the Hosted Buyer package. You need to purchase your own ferry, flight or train tickets in/out of Helsinki to attend the workshop and participate in Pre and Post Tours.
Accommodation We will provide one free night for registered and approved Buyers in Helsinki, this service includes also breakfast. Additional nights you need to book directly with the hotels. You can book your free accommodation either for 8.6 – 9.6 (Sunday-Monday night) OR 9.6 – 10.6 (Monday-Tuesday night.

Payment method Each person staying is responsible for their own accommodation costs. We accept cash, debit card or credit card as a payment method.
Reservation validity Room reservations made from the quota must be confirmed with a credit card at the time of reservation or paid in advance. The last free cancellation date for a single reservation made from the quota is 7 days prior to arrival date.

Catering Lunch is served from 13.15 to 14.00. While registering to the event, please advise if you have any special diets or food allergies.

Get Together Party
Get Together Party is organised in Helsinki city centre area. There is a bus transportation to the restaurant and back.
Pre and Post Tours
Pre and Post Tours are fully hosted for Buyers. The duration of the tours are from half day to 3 – 4 days. Please see each tour itinerary and timetable in our event website. Tours will be published not later than August 2024. Fully hosted tour includes services as follows:
transfer from the meeting point to the destination
accommodation during the tour
meals during the tour
tours and sight inspections according to the itinerary
Pre Tours are between 4.6 – 8.6.2025 Post Tours are between 10.6 – 13.6.2025
Each tour has it’s own meeting point which is not necessary the hotel where you stay. You need to find your way to these meeting points. For the destinations including flights the meeting point is at Helsinki-Vantaa Airport. For those including cruise ship travel (Stockholm, Tallinn) the meeting point is either in South Harbour (Stockholm) or West Harbour (Tallinn). Some destinations use Kiasma Contemporary Art Museum Bus stop as their meeting point. Also Helsinki Central Railway Station can be the meeting point for some tours. More information in section “Pre and Post Tours”.

The duration of each meeting is 15 minutes. We use a special Tavata Events -platform to organize all meeting sessions. You need to prebook all your meetings. During the workshop day it is not possible to add meetings. It is possible to register and book the meetings through Tavata platform during the period of 1.4.2025 – 9.9.2025 at noon.
Please check your time zone referring to EET time (which is used in Estonia, Finland, Latvia and Lithuania). It is +2 GMT. The official timetable is shown in EET time.
Price for Buyers: Free of charge Lucky Draw Raffle for Buyers 9.6 and 10.6.2025. In the end of both workshop days there will be a special Lucky Draw Raffle. The winners will be contacted separately and winner´s names will be published in the event website.

Cancellation Policy

Time is valuable for all of us. If you are unable to attend, please inform us as soon as possible.
In case of no-show you will not be able to apply for the coming Summer Fun Workshop Days.
For the Workshop and Pre and Post Tours there is a cancellation timetable. The deadline for the Workshop, Pre and Post Tour cancellation is 30.4.2025.
For each Pre and Post Tour there is a cancellation fee of 250 euros after 30.4.2025. Also if the cancellation is for the workshop itself, the cancellation fee is 250 euros.

How to participate in OFFLINE Workshop?
In 15-minutes one-to-one PREARRANGED MEETINGS you have the opportunity to introduce your company to other attendees from 09.00 to 17.00 o’clock. Meetings can be requested both ways: suppliers from buyers, media or event partners and vice versa. You can accept or reject the meeting request. Cost of Summer Fun Workshop participation as a Supplier – including a table, one sales representative, use of meeting booking tool, lunch, and non-stop coffee station services.
How to participate in ONLINE Workshop?
It is important that Suppliers and Buyers technically master our digital platform where your profile and prearranged meetings are managed. Also you need to master video conference tool with audio, camera, and sound system.
It is necessary to download Google Chrome as a browser. By using this browser our digital platform will work properly. Also we recommend to check your company firewall system and if you use company computer/laptop/iPad. Sometimes firewall blocks all kinds of video conference systems. We recommend then using your own, personal computer instead.
We provide minimum 3 Training Sessions prior to workshop day. It is required to participate at least in one training session. It will give you profound information on how to manage Summer Fun Workshop Digital Platform successfully.
In 15-minutes one-to-one PREARRANGED MEETINGS you have the opportunity to introduce your company to other attendees from 09.00 to 17.00 o’clock. Meetings can be requested both ways: suppliers from buyers, media or event partners and vice versa. You can accept or reject the meeting request. Why combine both Helsinki and ONLINE Workshops?
You can easily combine both Offline and Online workshop events. The Buyers are not the same in these two workshop events.
Shared table Two different companies can share the workshop table 11.9.2024. They will have one common meeting list to share; not 2 separate ones.
Two different companies can share “digital table” at the digital workshop 12.9.2024. They will have one common meeting list to share, not 2 separate ones.
The price list above shows “shared table + list” as two companies together. You need to divide the price in two to find what is your own company participation cost. For example 2 companies want to participate Offline Workshop 9.9 event only. The total cost is 1100 euros + VAT 24 % where applicable. The company cost would be then 550 euros + VAT 24 %.
Pre and Post Tours
There are 3 different service packages available. You can choose either 1 or 2 tours. If you choose 2 tours, we recommend to have 1 Pre and 1 Post Tour.
Pre Tours should be between 5.9 – 8.9.2024. Pre Tour can be from minimum half day to maximum 4 days/3 nights of duration.
Post Tours should be between 10.9 – 14.9.2024. Post Tour can be from minimum half day to maximum 4 days/3 nights of duration.
Service packages have different terms and conditions:
Package 1: max. 6 participants in each tour and ToolBox choose and approve the tour participants
Package 2: max. 6 in each tour and the hosting destination choose and approve the tour participants
Package 3: max. 10 participants in each tour and the hosting destination choose and approve the tour participants
The hosting destination covers the expenses as follows: transfer in/out of Helsinki to the destination, all accommodation, all meals, all tours and other services during the Pre or Post Tour.

Pre and Post Tours
Pre and Post Tours are fully hosted tours including transfers from Helsinki to the destination, and accommodation, meals and tours in the destination. There are specific starting and ending points for each tours which can be Helsinki-Vantaa Airport, Helsinki West Harbour, Helsinki Central Railway Station or Kiasma – contemporary art museum bus stop.
Which tours are you interested in participating? All applicants need to get confirmation from the hosting destination before final approval. Pre tours are between 04.06 – 08.06.2025 and post tours between 10.06 – 13.06.2025.
The tours will be published when they are finalized by the hosting destination, in March 2025.

Preorganized Meetings
We use event platform Tavata to schedule meetings in advance for both Helsinki offline event 9.6.2025 and digital online event 10.6.2025. Suppliers and buyers’ profiles will be added to Tavata and will be receiving login instructions from us.
We will organize training sessions for using Tavata platform. We highly recommend joining at least one of the training sessions to assist you of using Tavata platform.
