Summer Fun Workshop 2025
Largest travel trade event in the Northern Europe specialized in promoting summer season. Meet potential business partners in pre-scheduled 15 minutes meetings.
This is our 8th time to organize the event. The event will be in Helsinki, Finland. Summer Fun event is close to famous Midnight Sun and you can explore Nordic countries with 24 hours of daylight!
Suppliers are invited from all Baltic and Nordic countries to meet Buyers either in Helsinki 9.6.2025 (offline) AND/OR meeting them digitally 10.6.2025 (online).

Virtual Tour
1200 €, max. 1 hour/1 tour, no Buyer limitations, mainly targeted to Online Buyers. Max. 2 tours/destination. Virtual Tours are going to be held 12.6 (- 13.6).2025.
We are looking also for Pre and Post Tour programme hosts (companies and destinations) from Estonia, Finland and Sweden. When registering, please indicate your interest in hosting also FAM trips.
Participating as Supplier
The event is dedicated for companies located in Baltic and Nordic countries and interested in international markets and are offering interesting products for travel trade buyers from abroad.
When entering the workshop venue, you need to register first to get a special Supplier Badge which allows you to walk around in the restricted area and meet the buyers.

Catering
There is non-stop coffee/tee/water station in the workshop room.
Lunch menu includes starter, main course, coffee/tea + petit four and water as beverage. Additional orders at your own expenses. Lunch is served from 13.15 to 14.00. While registering to the event, please advise if you have any special diets or food allergies.
The lunch menu includes tap water, which is very good and potable in Finland. Any additional soft drinks and alcohol you need to pay directly to the restaurant.

Electricity to be installed to your workshop table costs 80 € + VAT 24%/person.
Get Together Party
There is Get Together Party 9.6.2025 from 18.00 to 20.30. Location: Will be published in April 2025.
Price: 90 € + VAT / person.

Online Meeting Workshop 10.6.2025 in Helsinki

How to participate in OFFLINE Workshop?
In 15-minutes one-to-one PREARRANGED MEETINGS you have the opportunity to introduce your company to other attendees from 09.00 to 17.00 o’clock. Meetings can be requested both ways: suppliers from buyers, media or event partners and vice versa. You can accept or reject the meeting request. Cost of Summer Fun Workshop participation as a Supplier – including a table, one sales representative, use of meeting booking tool, lunch, and non-stop coffee station services.
How to participate in ONLINE Workshop?
It is important that Suppliers and Buyers technically master our digital platform where your profile and prearranged meetings are managed. Also you need to master video conference tool with audio, camera, and sound system.
It is necessary to download Google Chrome as a browser. By using this browser our digital platform will work properly. Also we recommend to check your company firewall system and if you use company computer/laptop/iPad. Sometimes firewall blocks all kinds of video conference systems. We recommend then using your own, personal computer instead.
We provide minimum 3 Training Sessions prior to workshop day. It is required to participate at least in one training session. It will give you profound information on how to manage Summer Fun Workshop Digital Platform successfully.
In 15-minutes one-to-one PREARRANGED MEETINGS you have the opportunity to introduce your company to other attendees from 09.00 to 17.00 o’clock. Meetings can be requested both ways: suppliers from buyers, media or event partners and vice versa. You can accept or reject the meeting request. Why combine both Helsinki and ONLINE Workshops?
You can easily combine both Offline and Online workshop events. The Buyers are not the same in these two workshop events.
Shared table
Two different companies can share the workshop table 9.6.2025 . They will have one common meeting list to share; not 2 separate ones.
Two different companies can share “digital table” at the digital workshop 10.6.2025. They will have one common meeting list to share, not 2 separate ones.
The price list above shows “shared table + list” as two companies together. You need to divide the price in two to find what is your own company participation cost. For example 2 companies want to participate Offline Workshop 9.6 event only. The total cost is 1100 euros + VAT 24 % where applicable. The company cost would be then 550 euros + VAT 24 %.
Pre and Post Tours
There are 3 different service packages available. You can choose either 1 or 2 tours. If you choose 2 tours, we recommend to have 1 Pre and 1 Post Tour.
Pre Tours should be between 4.6 – 8.6.2025. Pre Tour can be from minimum half day to maximum 4 days/3 nights of duration.
Post Tours should be between 10.6 – 13.6.2025. Post Tour can be from minimum half day to maximum 4 days/3 nights of duration.
Service packages have different terms and conditions:
- Package 1: max. 6 participants in each tour and ToolBox choose and approve the tour participants
- Package 2: max. 6 in each tour and the hosting destination choose and approve the tour participants
- Package 3: max. 10 participants in each tour and the hosting destination choose and approve the tour participants
The hosting destination covers the expenses as follows: transfer in/out of Helsinki to the destination, all accommodation, all meals, all tours and other services during the Pre or Post Tour.

Reservation validity: Room reservations made from the quota must be confirmed with a credit card at the time of reservation or paid in advance. Note: for data protection reasons, credit card information may not be sent by e-mail. The last free cancellation date for a single reservation made from the quota is 7 days before the arrival date.
Terms and Cancellation Policy
The exhibitor shall have the right to cancel the participation in Summer Fun Workshop within fourteen (14) days of receiving confirmation from the Organizer. Requests for cancellation of participation must be made in writing.
Cancellation before 31.3 is
- 150 € + VAT %.
- Between 1.4 – 30.4.2025 cancellation is 500 € + VAT %.
- After 30.4 there is no refund.

We have two options to participate: either as Buyer in Helsinki Event by coming to Helsinki 9.6.2025 OR as Online Event participant 10.6.2025.
Requirements and Registration
There is no participation fee for Buyers attending Offline or Online Workshops.
Buyer’s definition: tour operators, travel agents and distribution channels looking for new products and destinations and are involved in initiating or authorizing purchasing decisions on travel-related products and services. Last day to enter profiles: 30 April 2025.
Please note that travel and accommodation costs are at your own expenses, except for what is shown in the Programme Package. What you need to cover for yourself, is e.g. your travel in/out Finland (flights to Helsinki and back to your home country), additional overnights in Helsinki and meals which are not shown in the Programme Package.

Participating as a Buyer
The definition of Helsinki “Offline” Workshop: you are coming to Finland and attending the workshop in Helsinki 9.6.2025. You have also a possibility to participate in Get Together Party 9.6.2025 and different fully hosted Pre and Post Tours.
The definition of Online Workshop: you have all your business meetings in remote access as online in 10.6.2025. For all online participants it is obligatory to participate in Training Sessions prior to workshop. Training session is needed to understand the technical requirements and handle the online platform used in the workshop. The Training Session will give you better access and performance during the workshop.

Buyers can registrate free of charge. Travel costs in/out to Helsinki are on participant’s own expense. Accommodation for one night in *** or ****hotel category in Helsinki is provided free of charge for the buyer. Limited amount of hotel rooms available.

There is limited number of parking space in the area. We recommend to use public transportation such as metro or tram. At the moment no trams are coming directly to the area. Closest ones are tram 3 and 9.
Check irregularities of traffic and roads constructions which are very common in Helsinki during summer time

Cloakroom
Cloakroom: next to venue room. It is unattanded, so when leaving there your luggage or clothes, don’t leave there any valuable items. We are not responsible for items left in the coat rack area
Registration Table
All Buyers and Suppliers are requested to come to the Registration Table where you will get your personal badge. You can recognize the status of the badge from the strings person is having. Blue = Suppliers, Yellow = Buyers, Red = Organizers
Please return your badge to the Registration when finished at the workshop.
Download your meetings beforehand – but not too soon
In Tavata System there is in My Schedule area a button, where you can download your meeting schedule. Please do it after 5.6 at 4.00 pm Finnish time. We are arranging in the system Suppliers timetable so that there is only one table number to be seen for each Supplier.
Electricity
If you need electricity for your cellular telephones or computers, there are few electricity plugs available in the workshop room. But those are for use of everybody. One can’t take it for own use for whole day. Naturally we recommend to fill up your computer and cellular telephone batteries in full before entering the workshop room.
Meetings
Suppliers sit in their table. All companies are set up alphabetical order. You will get a map where the companies are listed also from the Registration Table.
All meetings are for 15 minutes. You can have additional meetings from Suppliers sitting in their tablesif needed. You can prolong your meetings if it is ok for the meeting partner in 15 minutes shifts.
Lunch and catering
Lunch is served from 12.30 pm – 1.15 pm in second floor restaurant.
Lunch includes salad bar + two main courses of which one is vegetarian.
Water is included to the lunch.
If you want to have something else to drink, you can request other beverages in the restaurant and pay those directly to the staff.
Only credit cards are accepted as payment method.
If you have informed us beforehand about your possible food restrictions or allergies, we have informed the restaurant accordingly.

There is non-stop coffee/tea station with tap water in nearby of Workshop Room. It is open from 09.00 am to 5.00 pm.
Dessert is served during the afternoon break from 3.00 pm – 3.15 pm.

All suppliers are requested to gather their belongings. You have time to do it until 6.00 pm.
GetTogether Party starts at 6.00 pm
We have bus transfer to Mestaritalli Restaurant which will be our GetTogether Party location.

Bus will take around 15 – 20 minutes. Bus company is Kivistö Bus. You can recognize the bus from the sign “GetTogether Party Summer Fun Workshop 2025”
When arriving to Mestaritalli Restaurant, please take your belongings with you, because the transfer bus back is not necessary the same one as when we came.
The party includes transfers in/out from Congress Center Paasitorni.
There is 3-course dinner + limited number of beverages available. Again if you want to purchase something more from bar, that is possible. Please take credit card with you. No cash payment possible.

The event ends around 8.15 pm – 8.30 pm.
Transfer back to Hakaniemi.

You will get Suppliers contact information as excel file the very next day when the event is over.
The excel file includes company name, participants first and last name, nationality, website, email address and telephone number.

You will have 1 free night included to your package. You have indicated which of the following nights you will have the free accommodation.
Either 8.6 – 9.6 (Sunday-Monday night)
Or 9.6 – 10.6.2025 (Monday-Tuesday night). This free night includes also breakfast in very next morning after your night stay.

Pre and Post Tours
Pre and Post Tours are fully hosted for Buyers. The duration of the tours are from half day to 3 – 4 days. Tours will be published not later than April 2025. Please note that the tours in registration site are preliminary only. Fully hosted tour includes services as follows:
- transfer from the meeting point to the destination
- accommodation during the tour
- meals during the tour
- tours and sight inspections according to the itinerary
Pre Tours are between 4.6 – 8.6.2025
Post Tours are between 10.6 – 13.6.2025
Each tour has it’s own meeting point which is not necessary the hotel where you stay. You need to find your way to these meeting points. For the destinations including flights the meeting point is at Helsinki-Vantaa Airport. For those including cruise ship travel (Stockholm, Tallinn) the meeting point is either in South Harbour (Stockholm) or West Harbour (Tallinn). Some destinations use Kiasma Contemporary Art Museum Bus stop as their meeting point. Also Helsinki Central Railway Station can be the meeting point for some tours. The duration of each meeting is 15 minutes. We use a special Tavata Events -platform to organize all meeting sessions. You need to prebook all your meetings. During the workshop day it is not possible to add meetings. It is possible to register and book the meetings through Tavata platform during the period of 1.4.2025 – 9.6.2025 at noon.

Cancellation Policy

Time is valuable for all of us. If you are unable to attend, please inform us as soon as possible.
- In case of no-show you will not be able to apply for the coming Summer Fun Workshop Days.
- For the Workshop and Pre and Post Tours there is a cancellation timetable. The deadline for the Workshop, Pre and Post Tour cancellation is 30.4.2025.
- For each Pre and Post Tour there is a cancellation fee of 250 euros after 30.4.2025. Also if the cancellation is for the workshop itself, the cancellation fee is 250 euros.

Pre and Post Tours are fully hosted tours including transfers from Helsinki to the destination, and accommodation, meals and tours in the destination. There are specific starting and ending points for each tours which can be Helsinki-Vantaa Airport, Helsinki West Harbour, Helsinki Central Railway Station or Kiasma – contemporary art museum bus stop.
Which tours are you interested in participating? All applicants need to get confirmation from the hosting destination before final approval. Pre tours are between 04.06 – 08.06.2025 and post tours between 10.06 – 13.06.2025.
The tours will be published when they are finalized by the hosting destination, in April 2025.
Minimum of 4 participants are needed for each tour.
2. Journey to the Forest Heart of Finland (in Lakeland) 10.6 – 12.6.2025
The Forest Heart of Finland is a travel region spanning five municipalities in Northern Pirkanmaa and Central Finland (Juupajoki, Keuruu, Mänttä-Vilppula, Ruovesi, Virrat). Merely an hour east of the Helsinki metropolitan area, the captivating travel destinations of the East Coast of Finland unfold in the charming towns of Loviisa, Kotka, Hamina. This southeastern corner of Finland has a rich history, from the visits of Vikings to the most significant naval battles of the Baltic Sea.
We use event platform Tavata to schedule meetings in advance for both Helsinki offline event 9.6.2025 and digital online event 10.6.2025. Suppliers and buyers’ profiles will be added to Tavata and will be receiving login instructions from us.
Training Sessions
We will organize training sessions for using Tavata platform. We highly recommend joining at least one of the training sessions to assist you of using Tavata platform.
Trainings will be conducted in English with Zoom. You will receive training invitation from us. Here are the training schedules:
We strongly recommend participating at least one of the Training Sessions which we organize starting 6.5.2025 at 10.00 am and 2.00 pm. (This day is the only time we organize Training Session twice). Training Sessions are similar to each other. Then the following weeks the training is always only at 2.00 pm

The final day to make any meeting requests beforehand is 9.6.2025 (Monday) until noon, +2 UTC / Eastern European Time Zone (Finland).
