This event happens Online starting at 08.00 am Finnish time (EET, +2GWT) with testing your equipment during the first hour. Highly recommended.
From 09.00 t0 17.00 o’clock is the possibility to have 20 minutes meetings with all participants. We use for Tavata Global portal. Before the event there are four Training Sessions for the meeting portal use.

Workshop takes place in Oulu city. Oulu is famous coastline city in Northwest Finland, approx. 600 km from Helsinki.

ARRIVAL TO FINLAND
The Buyer package doesn’t include your arrival to Helsinki. So you need to provide your trip from your home country by yourself with your own expense.

We organize free transfers for Buyers as follows:

Your primary accommodation is TBA where you get your one night free. The additional night is c. 100 euros/night. The payment is done when you make check-in..
We recommend to have additional nights especially if you plan to join both Pre and Post Tours OR you like to attend at GetTogether Party which is free for Buyers.
We use two different hotels in Oulu. Both are located in the city center. Additional nights are c. 100 € including breakfast (TBC).

TOURS

Pre and Post Tours are fully hosted tours including transfers from Helsinki, Stockholm or Oulu to the destination, and accommodation, meals and tours in the destination. There are specific starting and ending points for each tours which can be Helsinki-Vantaa Airport, Helsinki West Harbour, Helsinki Central Railway Station or Kiasma – contemporary art museum bus stop. Also Stockholm Airport can be one departure point for specific tours.
All applicants need to get confirmation from the hosting destination before final approval. Pre tours are between 10.06 – 13.06.2027 and post tours between 15.06 – 18.06.2027.
The tours will be published when they are finalized by the hosting destination, in January 2027.
Minimum of 4 participants are needed for each tour.
This is our 9th time to organize the event. The event will be held in Oulu, Finland.
Suppliers are invited from all the Baltic and Nordic countries to meet Buyers either by coming to Oulu 14.06.2027 AND/OR meeting them digitally 15.06.2027.

Virtual Tour
1200 €, max. 1 hour/1 tour, no Buyer limitations, mainly targeted to Online Buyers. Max. 2 tours/destination. Virtual Tours are going to be held 17.06-18.06.2027.
We are also looking for Pre and Post Tour programme hosts (companies and destinations) from Estonia, Finland and Sweden. When registering, please indicate your interest in hosting also FAM trips.
Participating as Supplier
The event is dedicated for companies located in Baltic and Nordic countries and interested in international markets and are offering interesting products for travel trade buyers from abroad.
When entering the workshop venue, first you need to register to get a Supplier Badge which allows you to walk around in the restricted area and meet the buyers.

Catering
There is a non-stop coffee/tee/water station in the workshop room.
Lunch menu includes starter, main course, coffee/tea + petit four and water as beverage. Additional orders at your own expenses. While registering to the event, please advise if you have any special diets or food allergies.
The lunch menu includes tap water, which is very good and potable in Finland. Any additional soft drinks and alcohol you need to pay directly to the restaurant.
Electricity
Electricity to be installed to your workshop table costs 80 € + VAT 24%/person.

There is a Get Together Party 14.06.2027 from 18.00 to 20.30. Location: will be published in January 2027.
Price: 90 € + VAT / person.
Price inludes: 3-course meal with limited amount of beverages.
Online Workshop
The schedule for the Online Workshop on 15.6.2027 is below. Please note the time difference! Timetable is set in EET time (+2 GMT)!
08.00-09:00 Suppliers for the Online event can test their technical equipment in our meeting system
09.00 – 12.00 Meetings. All meetings are for 20 minutes. For the Online Workshop participants there are no obligatory breaks.

How to participate in Oulu Workshop?
In 20-minutes one-to-one PREARRANGED MEETINGS you have the opportunity to introduce your company to other attendees from 09.00 to 17.00 o’clock. Meetings can be requested both ways: suppliers from buyers, media or event partners and vice versa. You can accept or reject the meeting request. READ MORE UNDER THE TITLE “PREARRANGED MEETINGS” You can register and book the meetings through Tavata platform during the period of 01.04.2027 morning – 06.06.2027 at noon.
How to participate in the ONLINE Workshop?
It is important that both Suppliers and Buyers are technically familiar with our digital platform, where profiles are managed and pre-arranged meetings take place. Participants should also be comfortable using a video conferencing tool, including audio, camera, and sound settings.
Google Chrome must be downloaded and used as your browser to ensure the platform functions properly. We also recommend checking your company’s firewall settings, especially if you are using a company computer, laptop, or tablet, as firewalls may block video conferencing tools. In such cases, we advise using a personal device instead.
We offer five training sessions prior to the workshop day. Participation in at least one session is required if you have not previously used our Digital Platform. These sessions provide comprehensive guidance on how to successfully navigate and manage the Summer Fun Workshop Digital Platform.
In 20-minutes one-to-one PREARRANGED MEETINGS you have the opportunity to introduce your company to other attendees from 09.00 to 17.00 o’clock. Meetings can be requested both ways: suppliers from buyers, media or event partners and vice versa. You can accept or reject the meeting request. Why combine both Oulu and ONLINE Workshops?
You can easily combine both Offline and Online workshop events. The Buyers are not the same in these two workshop events.
Shared table
Two different companies can share the workshop table 14.06.2027 . They will have one common meeting list to share; not 2 separate ones.
Two different companies can share “digital table” at the digital workshop 15.06.2027. They will have one common meeting list to share, not 2 separate ones.
The price list above shows “shared table + list” as two companies together. You need to divide the price in two to find what is your own company participation cost. For example 2 companies want to participate Offline Workshop 14.06.2027 event only. The total cost is 1100 euros + VAT % where applicable. The company cost would be then 550 euros + VAT %.
Pre and Post Tours
There are 3 different service packages available. You can choose either 1 or 2 tours. If you choose 2 tours, we recommend to have 1 Pre and 1 Post Tour.
Pre Tours should be between 10.06. – 13.06.2027. Pre Tour can be from minimum half day to maximum 4 days/3 nights of duration.
Post Tours should be between 15.06. – 18.06.2027. Post Tour can be from minimum half day to maximum 4 days/3 nights of duration.
Service packages have different terms and conditions:
Package 1: max. 6 participants in each tour and ToolBox choose and approve the tour participants
Package 2: max. 6 in each tour and the hosting destination choose and approve the tour participants
Package 3: max. 10 participants in each tour and the hosting destination choose and approve the tour participants
The hosting destination covers the expenses as follows: transfer in/out of Helsinki to the destination, all accommodation, all meals, all tours and other services during the Pre or Post Tour.

We use event platform Tavata Events to schedule meetings in advance for both Oulu event 14.06.2027 and digital online event 15.06.2027. Suppliers’ and buyers’ profiles will be added to Tavata and every attendee will be receiving login instructions from us.
Training Sessions
We will organize training sessions for using Tavata platform. Trainings will be conducted in English with Zoom or Teams. You will receive training invitation from us. Here are the training schedules:
We strongly recommend you to participate at least one of the Training Sessions which we organize starting 01.04.2027 at 10.00 am and 2.00 pm. (This day is the only time we organize Training Session twice). Training Sessions are similar to each other. The following weeks the training is always only at 2.00 pm in Finnish time.
