The registration is open starting 1.3.2025 but most of the tours will be ready in the end of August 2025. So until then we keep the rights to all information delivered in the registration.

Please remember you need to register also to Helsinki Fair Centre’s “Matka Workshop Day 2026” registration site. You need to get approval first to be a participant in the event. Our registration site is only to apply for different Pre and Post Tour programmes.

8. Hotel Site Inspection in Greater Helsinki Area 16.1.2026

Hotel Site Inspection Programme will be organized in Greater Helsinki Area. For one day there can be max. 4 hotel visits.

All Pre and Post Tours are Fully Hosted: everything is covered (costs, tickets, services) from the starting point of the tour until your return to Helsinki.

You need to purchase your transportation from your home country to Helsinki, Finland and back to your home country. These tickets are not included in the package.

Approvals for each tour 
You need to be approved for each tour you are interested in participating. There are no limits of tours the Buyers is able to participate, but there are allotments for each tour. If the allotment is already fully booked, we will inform the Buyer to seek for another tour.

Meeting points for each tour
We have several Meeting Points regarding Pre and Post Tours. Our dispatcher will be waiting for the participants in each Meeting Points as follows:

1. Kiasma Contemporary Art Museum (All Walking Tours of Helsinki)
2. Helsinki Central Railway Station (All tours which use train in transportation)
3. Helsinki Harbours (All tours where cruise vessels are used (Estonia and Sweden as the destination. There are four Harbours in Helsinki, please check carefully where the tour starts from).
4. Helsinki-Vantaa Airport (All the tours which include flights to the destination)

Dispatching
Our Dispatcher will have a sign “Matka Workshop Day 2026 Pre and Post Tours”.

Our Dispatcher will be in the Meeting Points as follows:

• Walking Tours – 30 minutes prior to departure
• Train departures – 30 minutes prior to departure
• Cruise departures – 60 minutes prior to departure
• Airline departures – 120 – 150 minutes prior to departure

Your company description plays an important role when the hosting destinations choose the participants for the tours.

In the Registration Form we ask for the information related to each tour: DOB, your nationality, passport or EU identity card number, do you need a visa entering in Finland (Schengen countries), do you have any food restrictions or allergies, your shoe size and height in centimetres, and your outdoor outfit size.

Cancellation policy 
Cancellation deadline for Pre and/or Post Tour is 19.12.2025. After that date the cancellation fee is 250 € + VAT (if applicable) for each cancelled tour.

ToolBox Consulting Ltd. keeps the right to cancel the tour if there are less than four participants. This cancellation would happen latest by 19.12.2025. Also ToolBox Consulting assists the participant to find another tour.

The Matka Workshop Day 2026 Pre and Post Tour programmes are usually implemented as part of the workshop event. ToolBox Consulting Ltd. produces the tours on behalf of Messukeskus and Matka Travel Fair.

The goal is to offer around ten attractive and high-quality tours/visits in Finland and nearby markets, the duration of which is from half a day to 3/4 days (2/3 nights). We are looking for suitable tourist destinations and services to present to foreign tour operators and representatives of travel agencies and the media.

About 200 – 250 Buyers are expected for the workshop event. Pre- and post-tours are especially suitable for tourism areas, cooperation between several tourism areas or larger tourism companies that have offerings for different nationalities and customer groups. Matka Workshop Day is 15 January 2026 (and Matka 2025 Travel Fair 16 January – 19 January 2025).

PRE AND POST TOUR PROGRAMMES OF TOUR ORGANIZERS AND TRAVEL AGENCY REPRESENTATIVES

Tour participants:

• Minimum number 4-7 people/group, maximum 10-15 participants
• The whole group from at least 3 or more different countries
• The starting and ending locations of the programmes
• Departure port or airport in Finland, Helsinki railway station (incl. transport from accommodation places), Messukeskus (bus or taxi transports), accommodation places in the Capital Region (bus or taxi transports).

Themes and customer segments
Tourist destinations and companies can launch their new products or present their existing services using different themes and customer segments. These include, e.g. a presentation of a certain summer or winter activity, a well-being theme, families with children, a presentation of a famous person or thing’s anniversary, luxury travel, culture and events, etc. Participating companies and destinations can be part of a larger tour. In addition to target and company presentations, we are looking for ready-made product packages for sale.

Responsibilities of the organizer (tourism destination/company):

• The organizer’s task is to plan a “fully hosted” programme that fits the schedule, in which he is responsible for the group’s transportation, accommodation, food, program implementation and all incurred costs.
• The choice of the organizer (tourism destination/company) is affected by time of registration (first-come, first-served)
• The completion of the programme and the attractiveness of the programme as a whole
• The programmes must be ready in August -October 2025 at the latest
• Foreign buyers are interested in the programme

Note
The organizing Tourism area and/or company must be a main or sub-exhibitor OR otherwise sponsor/perform at the Matka 2025 fair AND as a vendor at the MATKA Workshop Day 2026 event.

Excursions can be organized under the following conditions:

• The organizer in charge of the trip must be the main exhibitor at the Matka 2026 Travel Fair and also participate in the Matka Workshop Day.
• Other destinations included in the programme must be main or sub-exhibitors at the Matka 2026 Travel Fair.
• If the project produces the practical arrangements for the trip, either the project and/or the regional marketing organization must be represented at the Travel Fair and Matka Workshop Day.
• All tours organized before Matka Workshop Day start from Helsinki or Helsinki Airport and end on Tuesday at the buyers’ accommodation hotels in Helsinki.
• Post tours can start on Thursday evening after Matka’s professional day at the earliest.
• Pre and post tours of the travel fair for registered buyers are organized by ToolBox Consulting Ltd.

Category options
In the actual destination-oriented Pre and Post Tour programmes, the options in the participation packages are:

1. ToolBox Consulting Ltd. reserves the right to choose (accept/reject) a tour operator who has shown his interest in participating in the trip. The ToolBox staff will announce the names of the participants. The travel destination cannot limit nationalities. Minimum number of 4 – 7 participants. The maximum number of participants is 10. Price 1 400 euros + VAT (if applicable) /1 excursion and 1 900 euros + VAT (if applicable) /2 excursions.

2a. The travel destination has the opportunity to choose (accept/reject) a tour operator who has shown his interest in participating in the trip. The tour operators are of different nationalities (no nationality restriction; the travel destination cannot limit nationalities. However, ToolBox takes the wishes into account, but fills in with other nationalities in order to get the minimum number of participants on the trip (4 – 7)). Maximum number of participants 10. Price 1 700 euros + VAT (if applicable)/1 excursion and 2 200 € + VAT (if applicable) /2 excursions.

2b. The travel destination has the option to choose (accept/reject) a tour operator, some of which are participants proposed by the travel destination AND the participants are of different nationalities (no nationality restriction; the travel destination cannot limit nationalities. However, ToolBox takes into account the wishes of the travel destination, but fills in with other nationalities if the desired nationalities are not available and so that the minimum number of participants allowed on the trip (4 – 7)). Maximum number of participants 10. Price 1 700 euros + VAT (if applicable) / 1 excursion and 2 200 €+ VAT (if applicable)/ 2 excursions.

3a. The travel destination has the option to choose (accept/reject) tour operators. The destination may limit the number of nationalities. However, nationalities must be accepted from at least 3 different countries. Maximum of 15 participants. Price 2 100 euros + VAT (if applicable)/1 excursion and 2 600 €+ VAT (if applicable)/2 excursions.

3b. The travel destination offers a special theme programme for tour operators (e.g. sauna, family travel, winter activity, etc.). The destination may limit the number of nationalities. However, nationalities from at least 3 different countries must be accepted. Maximum of 15 participants. Price 2 100 € + VAT (if applicable) / 1 excursion and 2 600 € + VAT (if applicable)/ 2 excursions.

Arrangement fee
We charge 1 400 – 2 600 € + VAT (if applicable) as an arrangement fee for one pre- or post-tour programme.

Note! The following fees applies when the hosting destination/company sends it’s tour itinerary to ToolBox Consulting representative not later than 31.8.2025.

If the tour is sent to ToolBox Consulting between 1.9 – 30.9.2025 there will be additional fee 150€ in each category.

If the tour is sent to ToolBox Consulting between 1.10 – 31.10.2025 there will be additional fee 300€ in each category.

If the tour is sent to ToolBox Consulting between 1.11 – 30.11.2025 there will be additional fee 450€ in each category.

If the tour is sent to ToolBox Consulting between 1.12 – 31.12.2025 there will be additional fee 600€ in each category.

Site Inspection programmes for accommodation companies NEW!
Buyers have requested for Site Inspection programmes for accommodation companies, where buyers inspect the accommodation company’s accommodation, restaurant and other services that the company offers in its own building or in its immediate vicinity. This is not so much a presentation programme for e.g. programme services.

The accommodation visit day includes a maximum of 4 accommodation destinations. It can last a maximum of 8 hours and one accommodation visit can last for a maximum of 1 hour. The exception to this are the accommodation units that offer e.g. lunch or dinner during the visit.

The organization fees for the “Site Inspection” programmes of accommodation companies, which extend to the capital region and partly to Uusimaa, are here below. Accommodation visits in the capital region (Helsinki, Espoo, Vantaa, Kauniainen and, where applicable, Uusimaa area). Duration of visit/accommodation unit maximum 1 hour.

The prices do not include the tour manager and transport company services:

* 4 accommodation units 1 800 € + VAT
* 3 accommodation units: 1 400 € + VAT
* 2 accommodation units 1100 € + VAT
* 1 accommodation unit 600 € + VAT

The services of a tour guide for the whole day’s program are 500 euros + VAT
Renting a bus for the whole day’s program is 800 euros + VAT
In total, this cost would be 1300 euros + VAT for the whole day’s program, which would be divided between the four accommodation facilities. In total, it would then be 325 euros + VAT

Accommodation presentations in Helsinki city centre area NEW
Available dates are 13.1 or 16.1.2026.
Presentation can take 45 minutes. It has to be conducted in English.
The venue will be in Helsinki city centre OR in Messukeskus (Helsinki Fair centre)
The Buyers are those attending at the workshop. Buyers have possibility to register according the timetable of accommodation presentations. Minimum 7 Buyers attending in each event.
You can choose from either morning or afternoon sessions.
One session costs 500 euros + VAT

Excursion dates
Pre Tour programmes can be implemented 13.1.2026.
Post Tour programmes can be implemented 17.1.2026

The price includes
There can be no more than 2 tour programmes, e.g. 1 Pre Tour and 1 Post Tour
Travel arrangements and contacts of tour operators, representatives of travel agencies
Communication with the contact person responsible for the pre- and post-tour programmes

Not included in the price

Transportation, meal or accommodation costs starting point Helsinki -> places to visit -> returning point Helsinki.

All the transfer and ground services, programmes, accommodation and meals at the destination are costs of the destination.

Additional Services
Tour guide service 500 €/day/8 hours + VAT.
Bus rental 800 €/day/8 hours + VAT.

The tour leader cost and the total price of the bus rental will be shared between the participating accommodation companies.

Any catering provided by accommodation companies during the visit is not included in this arrangement fee.

The choice of the organizer (tourism destination/company) is affected.

Time of registration (first-come, first-served).

The completion of the programme and the attractiveness of the programme as a whole.

The programmes must be ready in August-October 2025 at the latest.

Foreign buyers are interested in the programme.
